About the role:

We are on the search for a Contracts and Tendering Coordinator to join the team based out of the Jandakot, WA operation! You’ll work across a variety of existing projects, provide support to the C&T Team, prepare, coordinate and manage submissions for a wide variety of clients.

Key Responsibilities include:

  • Provide administrative support to existing predetermined and new major contracts/clients.
  • Coordinate and support all continuous / business improvement projects relating directly to the allocated major contracts within the portfolio.
  • Preparation of State based tender response documentation for review in a timely manager with Contracts & Tendering Manager prior to tender submission deadlines.
  • Prepare and submit all tenders and supporting documentation in accordance with internal process (i.e. sign off approvals, legal review etc)
  • Ensure all supporting documents are current and relevant
  • Ongoing administrative support for the continued contract renewals for allocated contracts.
  • Prepare and provide periodical reporting on administrative related aspects of new and existing contracts.
  • Administrative support to the contract management team for waste handling, processing, disposal, and technical queries for all solid and liquid waste services related to contract scope of works.
  • Prepare out of scope quotations in consultation with the contract management team for allocated contracts and clients.
  • Demonstrating a thorough knowledge of each allocated client contractual requirements and KPI’s.
  • Maintain exceptional customer relations by acting professionally and always remaining responsive to all queries received both internal and external.
  • Prepare and maintain contract waste management plans in consultation with the contract management team to ensure transparency across service requirements agreed with relevant client personnel.
  • Provide administrative support to maintain internal and external supplier arrangements, ensure ongoing contract compliance.
  • Contribute to continuous improvement initiatives and document any relevant improvement processes
  • Prepare contract performance reports, as well as other ad-hoc reports & presentations as required, supporting the contract management team to resolve any issues relating to allocated contracts.

 

Who you are:

  • Experience in a similar position within the waste industry or similar would be beneficial.
  • Demonstrated experience in preparation of full tender submission process.
  • Excellent time management and strong attention to detail regarding review of tenders/contracts.
  • Capability to undertake best practice, improving processes and procedures, as well as required compliance requirements
  • Confident analytical skills, including reporting utilising MS Excel on an intermediate level.
  • Motivated to influence and negotiate with key internal / external stakeholders across all levels.
  • Collaborative team member, who engages, adapts, shares and participates in a supportive setting.
  • Be flexible and adjustable in a fast-paced working environment.
  • Proficiency in MS Office packages.
